DEPOSIT & PAYMENT

We accept bookings for camping 12 months in advance to the date of the first night of the booking.

PAYMENT METHODS

Payments are accepted via credit card or EFT. If paying by EFT, please utilize the reservation number as your reference and submit your proof of payment to us at kwalatesafari@gmail.com

TRANSACTION CURRENCY

All transactions are in Botswana Pula (BWP).

DEPOSIT POLICY

A 50% deposit is required to secure a booking. This deposit forms part of the payment for camping and shall be offset to the total amount charged to the client. If the full amount is not paid at least 3 weeks prior to arrival, the Company reserves the right to treat the booking as cancelled and the deposit shall be forfeited. Clients booking within 3 weeks of arrival are required to pay the full amount immediately to secure the booking.

Clients may reinstate bookings within 7 days of forfeiture by paying a late fee of BWP 500.

BANK CHARGES

All bank charges are to be settled by the client. This includes transaction fees charged by our bank. The amount shown on the invoice is the amount that needs to reflect in our account. If bank charges are deducted, the client will be invoiced for the difference (not exceeding 5% of the transaction value).

CANCELLATION POLICY

The following cancellation policy refers to bookings paid in full:

Cancellations made until 4 weeks in advance - 50% refund

Cancellations made 4 – 1 week in advance - 30% refund

Cancellations made less than 1 week in advance - No refund

Deposits are non-refundable unless cancellation occurs within 7 days of booking.

AMENDMENTS TO BOOKINGS

Changes to booking dates are allowed up to 14 days prior to the check-in date, subject to availability and a rescheduling fee of BWP 300.

GOVERNMENT LEVIES AND PARK FEES

Any Government levies for individuals paid to Botswana Government on your behalf, at any stage will not be refunded in any way. All park fees for individuals, and vehicles fees payable to the Department of Wildlife & National Parks on your behalf will also not be refunded. We recommend that all clients take out a comprehensive travel insurance policy at the time of making your booking.

FORCE MAJEURE

The Company shall not be held liable for cancellations or disruptions caused by events beyond its reasonable control, including but not limited to natural disasters, pandemics, political unrest, or government-imposed restrictions. In such cases, the Company reserves the right to offer alternative dates or issue a voucher for future bookings. Refunds will be considered on a case-by-case basis.

LIABILITY DISCLAIMER

The Company is not liable for any personal injury, loss, or damage to personal property during the client’s stay. Guests are encouraged to secure comprehensive travel insurance. The Company shall not be held responsible for any inconvenience or loss resulting from acts of third parties, such as park closures or unforeseen delays.

COMMUNICATION AND NOTIFICATIONS

Should a guest fail to arrive on the check-in date without notice – no refund will be due/made, regardless of reason. All updates, including cancellations, park closures, or significant changes to bookings, will be communicated to clients via email at least 48 hours in advance, whenever possible.
